Cancellation charges and refund eligibility vary by hotel, vehicle, activity, route, season and travel date. Your written quotation or booking confirmation must state the conditions that apply to your specific arrangements.
Before confirmation
You may withdraw a travel enquiry before a booking is confirmed without an EasyTripMate cancellation charge. This does not apply where you have expressly authorised a paid permit, ticket, reservation or other non-recoverable service to be purchased on your behalf.
Your confirmed terms
A confirmed booking should include the payment schedule and the cancellation or amendment conditions applicable to the selected services. Those booking-specific conditions take priority where they are more detailed than this general page. Please ask for clarification before making payment.
How to cancel
Cancellation requests must be sent in writing to info@easytripmate.com or through the confirmed EasyTripMate WhatsApp contact. Include the lead traveller’s name, phone number, destination, travel dates and booking reference if one was issued. A request is treated as received when EasyTripMate acknowledges it.
Cancellation charges
Any charge will depend on the date of cancellation and amounts already committed to hotels, vehicle providers, permit services, ticketing partners or other suppliers. EasyTripMate will explain the applicable deductions using the confirmed booking terms and available supplier information rather than applying an undisclosed standard fee.
Refund eligibility
A refund may be available for amounts that remain recoverable after applicable supplier charges, non-refundable purchases and agreed service fees are deducted. Certain bookings, peak-season reservations, permits, tickets or last-minute cancellations may be partly or fully non-refundable when this was disclosed before confirmation.
Refund processing
Where a refund is approved, EasyTripMate will confirm the amount and expected processing route in writing. The time required can depend on supplier reimbursements and the original payment method. Bank, card, wallet or currency-conversion charges outside EasyTripMate’s control may not be recoverable.
Booking changes
Requests to change names, dates, destinations, vehicles, hotels or group size are subject to availability and supplier approval. A change may create a price difference or amendment charge. EasyTripMate will present the available option and additional amount, if any, before proceeding.
Missed or unused services
Refunds are generally not available for a service missed because a traveller arrives late, provides incorrect details, lacks required documents, changes plans during the journey or chooses not to use a confirmed arrangement. We will still try to help with alternatives where reasonably possible, and any additional cost will be explained.
Supplier changes
If a confirmed supplier cancels or cannot provide a service, EasyTripMate will seek a reasonable alternative or explain any refund available from that supplier. A substitute may differ in features or price. We will ask for your agreement before accepting a material change whenever circumstances allow.
Events outside control
Weather, road closures, natural events, strikes, government action, safety concerns or other circumstances outside reasonable control may require a route, date or service change. EasyTripMate will assist with practical alternatives, but refund availability will depend on recoverable supplier amounts and the conditions attached to each booking.
How we communicate
Important cancellation, change and refund information will be shared through the contact details provided for the booking. The lead traveller is responsible for checking messages and sharing relevant updates with the group. Keep written confirmations and payment records until the matter is complete.
